How to Humanize Copilot and ChatGPT Work Emails

How to Humanize Copilot and ChatGPT Work Emails

Outlook Copilot and ChatGPT draft work emails that get ignored: perfect grammar, no specifics. Rewrite the first two lines, add one fact, one ask, then one Human Writes pass.

Email is the default first workplace use of ChatGPT and Microsoft Copilot. People save time. They also send messages that sound like every other AI draft in the recipient's inbox.

The grammar is fine. The handshake is missing. No ticket number, no meeting you both sat in, no clear next step.

This is the Copilot follow-on to our Checklist for Writing Human-Like Emails. Same seven habits. Different trigger: the draft appeared in Outlook before you thought.

What Copilot does well (and what it ruins)

UsefulHarmful if you send as-is
Thread summaryInvented commitments
Calendar-aware scheduling language"I hope this message finds you well"
Grammar on your bulletsSoftened asks that never request a time
Tone sliderTone so professional it has no person in it

Copilot is a first draft. It is not the send button.

The two-line rule

Rewrite the first two sentences yourself, every time:

  1. Name plus one true detail from the thread or the work.
  2. Why you are writing, in one clause.

Then let Human Writes clean the middle. Then check the ask.

Copilot:

I hope you are doing well. I wanted to reach out regarding our ongoing collaboration and explore potential next steps at your earliest convenience.

You:

Hi Maya, saw the timeout on ticket 4821 after Tuesday's deploy. Can we use the 2 p.m. slot tomorrow to decide whether we roll back?

Workflow (under five minutes)

  1. Draft in Copilot or ChatGPT with: recipient, one fact, one ask, max 120 words.
  2. Delete throat-clearing ("I am reaching out to inform you").
  3. Paste into Human Writes and humanize once.
  4. Read aloud. If you would not say it across a desk, rewrite that line.
  5. Send from your account, not as a template blast.

Before / after: internal follow-up

AI:

Please be advised that we are currently reviewing the materials and will provide an update in due course. Do not hesitate to reach out with any questions.

After:

Still waiting on finance for the PO (I pinged them this morning). I will send the signed PDF by Thursday or flag if they slip. Reply if the vendor deadline moved.

Before / after: customer email

AI:

We sincerely apologize for any inconvenience this may have caused. Your satisfaction is our top priority.

After:

The invoice PDF failed for orders over $10k after Tuesday's release. Fix is in review; you will get a corrected PDF today. Sorry this blocked close.

Specific beat sincere. See the original email checklist for greeting, empathy, and single CTA.

Do not

  • Let Copilot invent a meeting you did not offer
  • Stack three CTAs
  • Humanize five times
  • Paste confidential HR or customer dumps into a personal ChatGPT if policy forbids it

Bottom line

Inbox AI saves keystrokes. It does not earn replies. You write the first two lines and the ask. Human Writes removes the robotic middle.

Paste the draft on Human Writes after the detail is real.
